Trustee Nomination Process — Board Overview
1. The Board initiates the nomination cycle
At the start of each nomination cycle, the Board identifies members who should be invited to submit a Trustee Candidate Questionnaire.
These individuals are entered into the system through the Admin Invitations page.
The Board (or designated admin) provides:
- The nominee’s name
- The nominee’s email address
- The nomination cycle (e.g., 2026)
The system then generates a secure, one‑time invitation link and emails it directly to the nominee.
2. The nominee receives a secure invitation
Each nominee receives an email containing:
- A personalized message from the Board
- A secure link to their Trustee Candidate Questionnaire
This link is unique to the nominee and cannot be shared or reused.
3. The nominee completes the Trustee Candidate Questionnaire
When the nominee clicks the link:
- Their personal questionnaire opens
- They can complete the form at their own pace
- They may save their progress and return later
- They can only submit once
The questionnaire includes:
- Basic eligibility questions
- Experience and background
- Committee interests
- Written responses
- A brief biography
- A position statement
The system ensures all required fields are completed before submission.
4. The nominee submits their completed form
Once the nominee submits:
- Their questionnaire is locked
- A confirmation email is sent to them
- The Board is notified that a new submission is available
The submission cannot be edited after this point.
5. The Board reviews the completed nomination
All completed nominations appear in the Admin Submissions dashboard.
For each nominee, the Board can:
- View the full questionnaire
- Read all written responses
- Review background and experience
- Assess committee interests
- Mark the submission as “Reviewed” once evaluation is complete
This ensures every nominee is evaluated consistently and transparently.
6. The Board proceeds with its selection process
After reviewing all submissions:
- The Board may discuss candidates
- Conduct interviews if required
- Vote according to WDHOF bylaws
- Finalize trustee selections for the cycle
The nomination system ensures that every candidate’s information is complete, organized, and easy for the Board to evaluate.
